Bilingual Readiness Scan
TheraCRM.pro checks whether a practice's intake is genuinely bilingual or only translated — the website form, the auto-reply, the voicemail greeting, the appointment confirmation, and the rescheduling link — each tested separately, by a person, in Spanish.
Definition
What is the Bilingual Readiness Scan?
The Bilingual Readiness Scan is a free diagnostic in which TheraCRM.pro submits a real Spanish-language inquiry to a practice's intake system and follows it through five touchpoints, to see which ones actually reply in Spanish and which quietly switch back to English partway through.
It exists because “we have a Spanish form” and “our intake is bilingual” are two different claims, and only one of them is usually tested before a practice makes it.
How TheraCRM.pro runs the scan
-
1
The form: a real Spanish-language inquiry, submitted through the practice's own website form, the same way a Spanish-speaking prospective patient would submit it.
-
2
The auto-reply: whatever confirmation email or text arrives immediately after submission, checked for the language it actually arrives in.
-
3
The voicemail greeting: reached by calling the practice's published phone number, including outside business hours.
-
4
The appointment confirmation: the message sent after a consultation is scheduled, if the scan gets that far.
-
5
The rescheduling link: followed through to see whether the page it opens is in Spanish, English, or was never translated at all.
The gap
What is the gap between a Spanish form and a bilingual intake?
It's easy for a Spanish-language form to sit in front of an English-only auto-reply, voicemail, and confirmation, because each of those pieces is often built and maintained separately — sometimes by entirely different tools. Nothing forces them to match, and nothing reveals the mismatch until a real Spanish-speaking caller hits it.
A form is a single piece of a much longer chain. A practice can get the first link right and still lose a Spanish-speaking prospective patient at the second, third, or fourth one — and never know it happened, because the mismatch is invisible from the practice's own side of the conversation.
Local context
Why does this matter specifically in Miami-Dade County?
88.0% of Miami-Dade County residents age 5 and older speak a language other than English at home, per U.S. Census QuickFacts. No county-specific figure isolates Spanish speakers alone, so this page does not state one — but it makes the form-to-voicemail gap a live, testable risk here, not a hypothetical one.
A practice in a market this linguistically mixed cannot assume its Spanish intake works just because the form does. The only way to know is to test the full chain, the way a real Spanish-speaking prospective patient actually experiences it.
What the scan report includes
What we don’t know yet
TheraCRM.pro has not yet scanned enough South Florida practices to publish a rate — what share pass all five touchpoints in Spanish versus fail at least one. We are not going to invent that number to fill this space.
When that data exists, TheraCRM.pro will publish it as a named, sourced benchmark and update this page to say so. Until then, your scan reports only what was found at your practice, not how it compares to anyone else's.
How do I request the scan?
Click below to open TheraCRM.pro's consultation request — the same intake used for every request on this site; there is no separate scan form.
Fill in your practice name, phone, and email as usual, then mention when we connect that you want the Bilingual Readiness Scan run against your website, phone line, and any appointment confirmation your practice sends. TheraCRM.pro will not run the scan against any practice without that request.
Results are compiled by hand and typically sent within a few business days. There is no faster automated tier and no fixed turnaround guarantee.
FAQ
Questions about the Bilingual Readiness Scan
No. A person submits the Spanish-language inquiry, calls the office, and follows any confirmation or rescheduling link by hand, the same way the Intake Response Audit is run.
No. TheraCRM.pro only interacts with what is already public — the website form, the published phone line, and any confirmation or rescheduling links a real patient would receive. No account access is requested or required.
Then that is the first and most important finding, stated plainly, rather than the scan proceeding to test later touchpoints that were never built in Spanish to begin with.
No, not until the result is ready — identifying TheraCRM.pro during the test would change how the inquiry is handled, for the same reason it would on the Intake Response Audit.
