Bilingual intake for South Florida practices

TRUST · HOW WE WORK

Did your CRM vendor build it, or license it?

Most healthcare CRMs are a configuration of somebody else’s platform. That is fine. Implying otherwise is not, so here is exactly what you are buying from us.

Brandon Aday

We do not claim to have built the engine underneath TheraCRM.pro. We license it, we configure it for healthcare intake, and we support it locally. The vendor is named, with the categories of data it processes, on our HIPAA & BAA page.

The thing nobody in this category says out loud

A large share of the CRMs sold to medical, dental and therapy practices are white-label configurations of a handful of underlying platforms. You can usually tell: the pipeline builder, the automation nodes and the form editor look strikingly similar across vendors whose marketing describes years of independent engineering.

There is nothing wrong with the model. Licensing a mature platform buys deliverability infrastructure, telephony, uptime and a security posture that no small agency could build or maintain alone. What is wrong is describing it as something you built, because a practice that discovers the arrangement after signing has been misled about the one thing it cannot verify on its own.

What we actually sell

The engine is licensed. What you are paying us for is everything between that engine and a working intake system for your practice, plus somebody in the same county to call when it breaks.

  • The build: intake fields, pipeline stages, routing rules and follow-up sequences configured for therapy, med spa, dental or medical intake rather than for a generic business.
  • The bilingual layer: both languages from one build, with the language captured at first touch and carried through every later message.
  • The compliance configuration: the settings that have to be right, and a Business Associate Agreement signed with your practice.
  • Local support: we are at 338 Minorca Avenue in Coral Gables, and most of the practices we work with are a fifteen-minute drive away.

WHAT A RESELLER IS

A company that licenses an underlying platform and sells a configured, supported version of it. The distinction that matters to a buyer is not whether the vendor built the engine — almost none of them did — but whether they say so, and what they add on top.

Why a raw platform account is not the same purchase

You can license a generic account on most of these platforms yourself, and some practices should. What you get is a blank canvas built for agencies, gyms and e-commerce stores. It contains no clinical intake fields, no waitlist logic, no bilingual routing, no crisis-escalation path, and no compliance configuration. Building those is where the work is, and it is not a weekend.

If you have the internal capacity to configure and maintain it, that is a legitimate route and we will say so on a call. If you do not, the honest comparison is not our price against a raw licence fee — it is our price against the licence fee plus the months of configuration.

What we will never say about compliance

No software is HIPAA compliant, ours included. Compliance is your practice’s status, not a product attribute, and it is shared three ways: the platform provides technical safeguards, we configure them, and your practice maintains its own policies, training and workforce controls. Any vendor telling you their product makes you compliant is describing something that cannot exist.

What can be stated plainly: the build runs on HIPAA-enabled infrastructure, Aday Interactive, Inc. signs a Business Associate Agreement with your practice, and it is included on every plan.

Why we would rather you heard it from us

A prospect who finds out after signing feels deceived and leaves. A prospect who reads it upfront, alongside a clear description of what they are actually buying, has already accepted the model — and it removes the strongest attack a competitor could make. If you want the vendor’s name and the data it handles, it is one click away and always has been.

Questions we get asked about this

Did TheraCRM.pro build its own software?

No, and we do not claim to. We license an enterprise platform engine, configure it for healthcare intake, and support it locally. The vendor is named, with the categories of data it processes, on our HIPAA and BAA page.

Is it bad if a healthcare CRM is built on another platform?

No. Licensing a mature platform buys deliverability infrastructure, telephony, uptime and a security posture a small agency could not build or maintain alone. What matters is whether the vendor says so, and what they add on top of it.

Why not just buy a generic account on the underlying platform?

Some practices should, and we will say so on a call. A raw account is a blank canvas built for agencies and e-commerce stores: no clinical intake fields, no waitlist logic, no bilingual routing, no crisis escalation path and no compliance configuration.

Is any CRM HIPAA compliant?

No. Compliance is your practice’s status, not a product attribute, and it is shared between the platform, us and your practice. What can be stated is that the build runs on HIPAA-enabled infrastructure and that a Business Associate Agreement is signed with your practice.

On a 30-minute call you can ask exactly what is licensed, what we configure and what your practice remains responsible for. We answer plainly.
